书接上回---商业信函的格式和构成

英文信的开头要避免分词形式的词的出现,如:"Reffering to our quotation of 29th August we....","Confirming the interview our representative had with you,we....","Replying to your letter of 20th May,we ........."这样的语句在现代英语中已已经过时,取而代之的是:"We refer to our quotation...."We confirm the interview.....""Thank you for your letter...."

信的结尾部分也避免用分词,往往用"We hope"来代替"Hoping the goods will arrive,safely,we remain",用"We look forward to hearing from you代替"Looking forward to your reply we are".很少用"We are sending under separate dover"来表达,而用"We send you by airmail(or by parcel post,ect)....."

信尾的个人签字要用打字机打一个,并写上签字人的职务,因为个人签字往往叫人无法认识:

Managing Director                                                  Sales Manager

"per    pro(p.p)是拉丁语,是法律性质的“被完全授权”的意思。没有权利签字的职员签字如下:

Yours faithful

for sales manager

E Swinton

或者是秘书签字:

Yours sincerely                                                                       Yours faithfully

Alice    Watson                                                                        THE THATCHWICH CROUP PLC

(Ms)Alice Watson                                                                  P.Mills

assistant to Mr G Allen                                                         dictated by Mr H Mackenzie

                                                                                       and signed in his absence by his secretary (Mrs)P Mills

附件与分发说明应放在信的末尾,如:附件随信,附上信的复印件转给。。。。部门,例如:

Enclosures:                                                                             Enc

1.minutes of the last meeting                                               price list

2. organisation chart (2copies)                                           terms and conditions of sale

copies to:                               distribution:                                cc

Mr Brown                                 sales department                  Account department

Mr Harris                                                                             Marketing department

                                                                                            (cc=copies circulated to)

应尽量避免写附言,即使也要标上P.S.的字样。

如果是俩张信纸,那么第一张的最后写上“ctd/..........”(=未完)。

在信封上应写明:

By Airmail                                                                         航空

Express Delivery                                                               快件

Registered Recorded                                                       挂号

Poste Restante: to be called for                                        留局待领件

to be called for at G.P.O.                                                  总局待领件

Printed Matter                                                                   印刷品

Printed Matter Reduced Rate                                            优惠印刷品价

to await arraival:hold for arrival                                         请到达后付款

to be forwarded:please forward                                        请转递

if undelivered return to:.....If undelivered                          如不能到达,请寄回至。。。。

to be return to.....

Urgent                                                                            急件

Confidential                                                                    密件

Personal                                                                        亲收

Private                                                                           私人信件

如果写上“亲收”字样,那么这封信是针对具体人的,其它人不得打开。如果写上“密件”,收信人不在时他的副职人员可代为处理。

终于可以弄完了。松口气。。。。。。。
